Board Meeting Minutes
September 10, 2025
Call to Order- Present- Tim Newman, Terry Robbins, Robin Robbins, Steve Budde, Colin Benson, Ken Freeman, Debbie Miller
July 2025 Minutes- These minutes were approved unanimously
Treasurer’s Report-Robin Robbins reports that finances are as follows
Operating account $ 7,831.20
Petty Cash $ 125.00
CD # 1 $ 10, 826.54
CD #2 $ 15,139.77
Total $ 33,922.51
The CD #1 will be cashed out when it matures on 9/20/2025 so it is available for donations when needed
Robin will make sure that at least $4000-5000 will need to be kept in the Operating Account so that it is readily available for upcoming Monster Cookie 2026 expenses.
Rides Committee-Terry Robbins reports that rides are currently scheduled through mid-November.
Monster Cookie test routes need to be added soon and the decision was made to add them to Saturday September 20th. Jim Miller will get the updated ride routes to Terry and Ken by then end of this coming weekend to upload. Ken Freeman will be the ride coordinator for those rides. A test program of participants registering themselves for the ride will be tried.
Terry is working on ride coordinator guidelines and policy updates. He is considering the idea that registering for all club rides could be useful and the board was generally in agreement.
Club Forums Update- Terry Robbins has no new updates. He intends to write an article for Spokes on how the forums work to inform members
Membership Update-Tim Newman reports we are holding steady at 252 members
Salem-Keizer Safe Routes to School Bicycle Program- Debbie Miller reports the program is on again for 2025-26 school year. 6 schools will be taught Bicycle Safety Education and 2 Schools will be taught Learn to Ride. There will be no programs in November and December due to weather. Learn to Ride will be taught inside only in January and February. A call for volunteers was put out so those without a background check can get that process started. The first school will be September 22. There are still things that need to be finalized like the training program that will be required of volunteers and the sign-up program for volunteers. Also, the locations, dates, and times up upcoming schools. The extent of the current funding that the program has and needs is not clear to SBC as of yet and we are still awaiting any grant awards from Iron Man that may be made available. Decisions on our donation will be held until we have more information on the needs that SRTS will have.
The board was notified that Beth Schmidt will be receiving the Safe Streets for All Award by the Street Trust for her leadership and advocacy on Senate Bill 450 establishing the Annual Ruby Bridges Walk to School Day in Oregon on November 14th. Congratulations Beth!
Art Fair-Tim Newman reports we are set and just 9 slots left to fill for the weekend. Our sponsors have provided prizes for a raffle and there will be small prizes for anyone who stops by or who participates in our activities.
Donations- The proposed $500 donation in honor of cyclist and Sprague High School teacher Jeremy Wanak who was killed while cycling on Delaney Road July 2025 is still pending as Ken Freeman obtains more information from family and his pastor.
The CD for $10,826.34 that matures 9/20/2025 will be cashed out and held pending assessment of needs from SRTS for their bicycle program as well as results of any Iron Man grants.
Ink Cartridge Toner- a motion was made, seconded, and approved unanimously by the board to approve 2 ink toners for Tim’s printer for club business that is taken care of by him at home.
Future Board Meeting discussion- Julie Glass will be stepping down at the end of her term and the board will need to continue to seek a replacement for her. Most other board members are still willing to continue their current positions unless other candidates come forward to run. Tim brought up the idea of less frequent meetings as an option for the future, but most board members were in favor of the current schedule but preferred an attempt to shorten meetings to 1 hour. That will be tried at the next meeting.
Spokes discussion- Colin reports things are going well with Spokes and he gets about 50% openings which is 800 plus people.
Tim brought up the idea of less frequent editions to reduce the burden on the editor. Board members expressed that they enjoy the monthly editions and Colin didn’t feel it was too burdensome at this point. Debbie Miller suggested that Colin develop a list of regular contributors, like herself for SRTS updates and perhaps Monster Cookie updates with her or Ken Freeman, member highlights by people like Mary Schmidgall and Jackie LeFevre, President comments by Tim Newman, Trip reports by Steve Budde or others involved, Forum and ride updates by Terry Robbins. Perhaps he could reach out to this list 1-2 weeks before each addition for contributions.
