Board Meeting Minutes

July 9, 2025

 

- Call to Order- Present- Julie Glass, Ken Freeman, Tim Newman, Colin Benson, Steve Budde, Terry Robbins, Robin Robbins, Juan Lopez, Debbie Miller

-Approval of Minutes-the June minutes were reviewed and approved unanimously with the correction that Julie Glass is helping Juan Lopez organize the raffle for the Iron Man, rather than organizing it by herself.

-Treasurer’s Report- Robin Robbins reports that current total assets are $33,172.93 as of June 30th. One CD is currently at $10,760 and matures September 20th, 2025. The other is $15,046. 94 and matures in October. The Operating Account is at $7,364.85 with very little activity recently.

-Rides Committee Report- Terry Robbins reports there has been no meeting of the committee since the last board meeting. Terry has sent the Monster Cookie test rides to committee and will email with response. There are scattered rides that still need leaders. Terry is updating the ride leader forms and will send to the board for approval. As the summer gets hotter, a reminder that some rides may need to be moved to 8 AM if temperatures are very high and ride leaders may even cancel some if it’s very hot.

-Member Forums- Terry Robbins reports that there have not been too many comments except a few for the San Juan trip. He will write a short article for the newsletter next month to remind or inform members of the forums.

-Membership Update-Julie Glass reports that membership is holding steady at 263. She would like to see a membership drive at some point perhaps at the Art Fair or even at the Monster Cookie event itself. She will follow up on the expired list that was sent to her by Tim recently.

-Spokes Update- Colin Benson reports he sent out 1096 newsletters last time and had a 60% open rate. He appreciates contributions to the content.

-Iron Man Update-Juan Lopez reports that things are filling in with volunteers for the July 20th event with 36/40 sites filled, although a couple may be dropping out. Debbie Miller will provide the volunteer food again with the gift card Juan gets from Iron Man and he will let her know her budget and either give her the gift cards ahead of time or reimburse her after with the cards. Tim will be in charge of trash management. Julie will help out with the Raffle and will hand out raffle tickets with the volunteer T-shirts. Tim will take care of the prizes and will also bring tables, chairs, tents, bike racks, wheelbarrows and purchased grabbers, gloves, and general supplies. Volunteers will be encouraged to bring their own gloves. Juan will email Tim to coordinate finalizing volunteer assignments for the Iron Man event.

-Donation Policy-this was again discussed and there is a better understanding that the board is the ultimate decision maker on where donations go.

-San Juan Island Tour Update- Steve Budde reports that he currently has 29 email addresses of people who plan to participate so there may be about 35 people attending. He plans to send an email with information about food options and points of interest on the islands. Steve will also remind participants about accommodation arrangements and offer assistance if needed. He intends to track ride mileage credit during the trip. Debbie suggests collecting donations for margaritas and encouraging participants to bring snacks for the 7 o'clock evening gatherings.

-SRTS Update-Debbie Miller met with Beth Schmidt and Mike Jaffe from Mid-Valley Council of Governors and Tim Newman met earlier with Mike Jaffee and provided updates. The Salem-Keizer School District has fully endorsed the program and is providing increased funding as well. SK-SRTS is getting money from them and other grants including Federal grants. They hope for money from SBC and Iron Man as well to obtain their own bikes and trailers. Cycle Oregon will again provide one trailer for the full 2025-26 academic year and SRTS hopes to fund one trailer of their own by spring. Both Bicycle Safety and Learn to Ride programs will run at various times in the year. Volunteer signups and tracking will be taken over by SRTS with a program similar to Sign-Up Genius. Instead of being the volunteer coordinator again, Debbie Miller will become more of an SBC liaison to SRTS and will provide monthly updates to the board and coordinate monthly email volunteer requests from SBC’s mailing list. Volunteers will need to provide more information, like emergency contact information, and will have to be fingerprinted in addition to background checks. Volunteers will now have insurance provided by SRTS. There will be a training course required and volunteer expectations/duties clearly outlined. Waivers will need to be signed and SRTS will now keep track of attendance by volunteers and provide that to SBC so that volunteer time can be tracked by SBC for awards. SRTS will also look for volunteers from other areas, such as student's parents to fill in their needs.

-SBC Potluck-This will take place at Minto Brown Park picnic shelter near parking lot #3 again on August 23rd starting at 5:30 PM. The board discussed pros and cons of BBQ vs a straight up Potluck and decided on the Potluck. Drinks will be provided by SBC and the board unanimously approved a maximum budget of $200 for drinks, which Tim Newman will provide. There will be discussions about the success of the San Juan Island trip among other things at the meeting.

-Salem Art Fair- This takes place September 12-14. Tim reports excess volunteers last year and has set it up the volunteer’s site for about half that number this year. He feels we need better merchandise sales and more focus on that. Cold water bottles will be provided for free to Art Fair participants at the bicycle parking site.

-Meeting With Area Farmers- Tim Newman attended a meeting with area farmers where SBC rides who aired their grievances about cyclists on the road. Tim feels opening of the channels of communication is healthy and should be ongoing.

-Next Meeting- August 23rd at the Potluck gathering 5:30 PM at Minto Brown Island Park Picnic Shelter near parking lot #3
